The client is an entrepreneur based in Chicago managing two primary business lines: a real estate investment business and a restaurant operation. The real estate side focuses on identifying and evaluating acquisition opportunities through broker relationships and direct outreach, while the restaurant business involves daily financial tracking and operational oversight. The client values efficiency, organization, and proactive thinking, and is looking to build a long term working relationship with a reliable right hand who can help streamline both business and light personal tasks.
About the Role:
The Executive Assistant will serve as a key support partner, handling a mix of administrative, operational, and analytical tasks across both businesses. This role will focus on email management, data entry, and basic financial tracking, while also supporting real estate deal flow by organizing and prioritizing incoming opportunities. The position requires someone highly organized, detail oriented, and capable of learning patterns over time to improve decision making support. This is a full time role with some flexibility, but structured around U.S. business hours.
🔑 Key ResponsibilitiesEmail and Deal Flow ManagementReview and organize a high volume inbox with 100 to 150 daily emails
Identify and prioritize relevant real estate opportunities
Flag time sensitive communications and assist with timely responses
Filter out non relevant emails and maintain inbox organization
Restaurant Operations and Data TrackingExtract daily sales data from internal portals and input into spreadsheets
Reconcile transactions and verify deposits against bank records
Support categorization of expenses for accounting purposes
Maintain accurate and organized financial tracking documents
Administrative and Operational SupportAssist with spreadsheet creation and data organization for business analysis
Track outreach efforts and maintain organized records of contacts
Support documentation such as deal summaries or company overviews
Ensure structured processes are followed across recurring tasks
Light Personal SupportConduct research such as travel or hotel options when needed
Assist with occasional planning or coordination tasks
Provide general support based on evolving needs
🎯 Qualifications & Skills must haveProven experience as an Executive Assistant or in a similar administrative role
Strong proficiency in spreadsheets and data entry
Excellent organizational skills and attention to detail
Ability to manage high volumes of information and prioritize effectively
Strong written communication skills in English
Experience supporting entrepreneurs, executives, or small business owners
Experience handling inbox management or deal flow coordination
Preferred:Exposure to real estate, finance, or bookkeeping related tasks
Familiarity with data reconciliation or financial tracking processes
Personality Traits: Strong critical thinking and ability to recognize patterns over time
High sense of urgency and responsiveness
Positive and professional communication style
Reliable, consistent, and proactive in task execution
