Position Overview:
An Executive Assistant to the President acts as a strategic gatekeeper and operational liaison. They manage complex calendars, prioritize communications, and oversee high-level administrative details. This role requires impeccable discretion, problem-solving skills, and the ability to represent the President seamlessly to internal teams, board members, and external stakeholders. This is a fully remote position requiring exceptional self-direction, strong time management, and the ability to work independently with minimal supervision.
Key Responsibilities:
Manage the President’s email, calendar, appointments, meetings, and travel arrangements
Coordinate internal and external communications on behalf of the President
Prepare reports, presentations, correspondence, and meeting agendas
Track projects, deadlines, and follow-up items to ensure timely completion
Organize and maintain digital filing systems
Assist with bid documents, contracts, invoices, and construction-related administrative tasks
Serve as a liaison between the President, vendors, clients, and subcontractors
Coordinate meetings, company events, and jobsite visits
Handle confidential business and personnel information with discretion
Perform additional administrative and executive support duties as assigned
Willing to travel, estimated to be once per quarter, for training and/or meetings
Qualifications:
3+ years of experience as an Executive Assistant or in a similar high-level administrative role
Strong organizational and multitasking abilities
Exceptional written and verbal communication skills
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with project management tools is a plus
Proven ability to handle confidential information with integrity
Background in construction or related industries is a plus
