About the position
The Events & Experiences Coordinator supports ivision’s marketing organization by planning and executing high-quality client, partner, and employee events that strengthen relationships and reinforce the ivision brand. Reporting to the Director of Marketing, this role plays a critical executional role in delivering seamless, professional event experiences across ivision’s event portfolio.
This position requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, dependable, and comfortable owning logistics while collaborating closely with marketing leadership, internal teams, vendors, and external partners.
Responsibilities
• Coordinate and execute marketing-led events including client meetings, hosted dinners, conferences, sponsorships, networking events, and company-sponsored experiences
• Support events involving executive leadership by preparing agendas, timelines, run-of-show documents, and briefing materials
• Ensure a polished, high-touch experience for clients, partners, executives, and guests
• Assistwith conferencelogisticssuch as registrations, booth materials, signage, shipping, and on-site coordination
• Plan and execute internal events including town halls, leadership meetings, team offsites, training sessions, and company celebrations
• Partner with marketing leadership to align events with broader marketing and internal communication goals
• Coordinate calendars, invitations, and communications using Microsoft Outlook and Teams
• Manage end-to-end eventlogisticsincluding venues, vendors, contracts, catering, A/V, travel coordination, registration, and on-site execution
• Track budgets, timelines, and vendor details using Excel and Microsoft Office tools
• Support swag management, gifting, inventory coordination, and event materials
• Maintain event documentation, templates, timelines, and shared files within Microsoft Teams and Office environments
• Represent ivision professionally with internal stakeholders, executives, clients, and external partners
• Exercise sound judgment when working with sensitive information related to events, clients, and leadership participation
• Collaborate cross-functionally with marketing, sales, operations, and partners to ensure smooth execution
• Flexibility to support occasional domestic travel and work outside standard business hours as needed for events
Requirements
• 2–5 years of experience coordinating corporate events, marketing events, hospitality, or experiential programs
• Strongproficiencyin Microsoft Office, including Excel, Word, Outlook, and Teams
• Exceptional organizational skills and attention to detail
• Strong written and verbal communication skills
• Ability to manage multiple priorities and deadlines in a fast-paced environment
• Professional presence and comfort working with senior leaders, clients, and external partners
Nice-to-haves
• Experience supporting B2B marketing events, conferences, or sponsorships
• Experience with virtual and hybrid events
• Familiarity with vendor coordination, contracts, and budget tracking
• Interest in growing into expanded event ownership or future Events Manager responsibilities
