Payroll Consultant (Remote)

As a Payroll Consultant at Mosaic, you will be responsible for end-to-end payroll processing for multiple clients across varying payroll frequencies (weekly, bi-weekly, semi-monthly, monthly). This role ensures accurate, timely, and compliant payroll delivery while managing client relationships, resolving payroll issues, and driving process efficiencies within a multi-state environment.   What you’ll do: Payroll Processing & Delivery  Process payroll for multiple clients with varying pay frequencies (weekly, bi-weekly, semi-monthly, monthly)  Validate payroll data including earnings, deductions, taxes, and adjustments  Review and balance payroll prior to finalization and transmission  Manage off-cycle payrolls, bonuses, and adjustments as needed  Ensure payroll is processed accurately and delivered within client deadlines  Client Management  Serve as primary payroll contact for assigned client portfolio  Communicate payroll timelines, requirements, and issue resolution clearly  Provide consultative support on payroll best practices and compliance  Maintain strong relationships and high client satisfaction  Compliance & Tax Management  Ensure compliance with federal, state, and local payroll regulations  Support tax filings, amendments, and quarter/year-end activities (W-2s, 941s, etc.)  Monitor changes in payroll legislation impacting clients  Data Validation & Issue Resolution  Audit payroll inputs/outputs for discrepancies  Investigate and resolve payroll errors, variances, and client inquiries  Partner with internal teams (tax, benefits, HRIS) for issue resolution  System & Process Management  Utilize payroll systems (e.g., UKG Pro, ADP, Workday) to process payroll  Maintain and update payroll configurations, earnings/deductions, and employee data  Identify opportunities to automate manual processes and improve efficiency  Document SOPs and maintain payroll processing documentation  Time & Billing Accountability  Track time accurately across clients, projects, and payroll cycles  Meet utilization and billable hour targets  Support forecasting and workload balancing across client portfolio  Model Mosaic’s customer service vision of Guide, Anticipate, Exceed   How you’ll be measured:  Payroll accuracy and on-time delivery rates  Client satisfaction and retention  Reduction in payroll errors and rework  Billable utilization targets – 80%  Compliance adherence (no penalties/late filings)  What we offer you: A competitive salary of $68,000-$80,000 with bonus potential Comprehensive benefits, perks and PTO package An award-winning company culture in a flexible, remote environment   What makes you successful: Need to haves: 3–5+ years of multi-client payroll processing experience  Strong experience with multi-frequency payroll processing  Multi-state payroll tax knowledge  Experience in payroll systems (UKG preferred)  Strong attention to detail and accuracy  Ability to manage multiple deadlines concurrently    Nice to haves: CPP (Certified Payroll Professional) certification  Experience in a managed services or consulting environment  Year-end payroll experience (W-2s, audits, corrections)  A completed degree from an accredited University
