Overview
FWI is seeking a Recruiting Operations Specialist to own the systems, processes, and vendor relationships that power our talent acquisition function. This is not a traditional recruiting role, it's an operations role for someone who understands how recruiting works and wants to make it work better. You will be responsible for managing our recruiting platforms, controlling costs, documenting and improving processes, and ensuring our recruiting team operates against a consistent, measurable standard. You'll report directly to the Director of Operations and work closely with our recruiting team, iCIMS specialist, and business development function. This role has a clear growth path for the right individual.

Work Schedule and Location:
Remote: This full-time remote position will work Monday through Friday.
Responsibilities
Platform & Vendor Management
Own day-to-day administration and optimization of FWI's recruiting platforms, including iCIMS, Indeed, LinkedIn, and ClearanceJobs
Manage vendor relationships, contracts, and account performance across all job boards and recruiting tools
Serve as the primary point of contact for platform vendors and troubleshoot issues as they arise
Coordinate with the iCIMS specialist to align system configuration with operational needs
Process & Quality
Document, improve, and enforce recruiting workflows and standard operating procedures
Identify and close process gaps, with particular focus on handoffs between business development, recruiting, and onboarding
Ensure job postings are accurate, optimized, and consistently maintained across all platforms
Support compliance with recruiting standards relevant to federal government contracting
Cost Control & Metrics
Track and report recruiting costs, including cost-per-hire, source effectiveness, and platform ROI
Develop and maintain recruiting dashboards and reporting for leadership
Identify opportunities to reduce recruiting spend without sacrificing pipeline quality
Manage job board credits and advertising budgets strategically
Operational Support
Manage and direct the FWI recruiting team
Partner with recruiters to resolve day-to-day operational bottlenecks
Support sourcing strategy for cleared and specialized roles, leveraging ClearanceJobs and other relevant platforms
Assist with onboarding system integrations and tools as needed
Qualifications
Required:
3–5 years of experience in recruiting operations, talent acquisition operations
Hands-on experience with ATS platforms; iCIMS experience strongly preferred
Demonstrated experience managing job board accounts and vendor relationships (Indeed, LinkedIn, or similar)
Strong process orientation — able to document, improve, and hold others accountable to workflows
Data-driven mindset with experience tracking recruiting metrics and costs
Ability to work independently and manage priorities in a remote environment
Strong written and verbal communication skills
Desired:
Experience supporting federal government contracting or cleared-role recruiting
Familiarity with ClearanceJobs platform
Experience with HRIS or onboarding system integrations
Background in ATS administration, including configuration and reporting
